These are extensions of Registry, ably represented by the College and Departmental Officers, who perform the following functions:

  • Welfare of New Faculty/Adjunct Staff
    • Handles Office/Guest house arrangement for adjunct lecturers
    • Distributes lecture materials e.g. board wiper, marker, pens, paper, public address system (PAS), etc
    • Distribute and collect lecture attendance sheet
    • Assists the Dean/HOD in providing the course outlines/content for the faculty.

  • Staff Attendance
    • Makes staff attendance sheet ready latest by 7:30 am.
    • The report of staff attendance is given weekly/monthly or as directed by the Registrar.
    • The summary of the attendance are provided in electronic form.

  • College/Departmental Board Meeting
    • Circulates notice of meeting
    • He ensures result’s spreadsheet from Registry is available, if the meeting’s agenda includes consideration of a Semester result, two days ahead
    • He/she organizes refreshment during the meeting.
    • He/she acts as secretary to College/Departmental committee e.g.

      • College/Departmental Academic Advisory Board
      • College/Departmental Board of Examiners
      • College/Departmental Research Committee, etc.

  • Mails Dispatch: College/Departmental officer receives letters and memos on behalf of the Dean/HOD and the College/Department. Dispatch such letters to the affected Units.

  • Class Attendance: ensure that lecture attendance records are well collated and keyed in.

  • Record Keeping: keeps the students’ record/files. These files must be kept up to date to create a student’s history. He/she collates the students’ course registration form and results and files them appropriately

  • Supervision and Control: Hecoordinates junior staff that relate to the operations of the College/Department and ensures they deliver adequately in their various assignments.

  • Requisition for Maintenance Works and Repairs of Utilities
    • He takes account of equipment (e.g. furniture, electronic gadgets) in the College/Department.
    • He/she request for new equipment and maintenance/repair of such equipment.
    • Also, he ensures proper maintenance/repair works are done.
    • Students’ Requests: attend to all students’ record or direct them to the office that can handle their cases.
    • Keys of Stores and Labs in the College: He is the custodian of all laboratories and stores keys and manages the use of these facilities.
